BOSS HR Connect Privacy Policy

Introduction

This Privacy Policy outlines how we collect, use, and protect the personal information of users of BOSS HR Connect.

Interpretation and Definitions

Interpretation

The words of which the initial letter is capitalized have meanings defined under the following conditions. The following definitions shall have the same meaning regardless of whether they appear in singular or in plural.

Definitions

For the purposes of this Privacy Policy:

Application refers to BOSS HR Connect, the software program provided by the Company.
Group refers to Alphamatic Group.
Company (referred to as either "the Company", "We", "Us" or "Our" in this Agreement) refers to BOSS Solutions Global Sdn. Bhd., a subsidiary of The Group.
Country refers to: Malaysia
Device means any device that can access the Service such as a computer, a cellphone or a digital tablet.
Personal Data is any information that relates to an identified or identifiable individual.
Service Provider means any natural or legal person who processes the data on behalf of the Company. It refers to third-party companies or individuals employed by the Company to facilitate the Service, to provide the Service on behalf of the Company, to perform services related to the Service or to assist the Company in analyzing how the Service is used.
Usage Data refers to data collected automatically, either generated by the use of the Service or from the Service infrastructure itself (for example, the duration of a page visit).
You means the individual accessing or using the Service, or the company, or other legal entity on behalf of which such individual is accessing or using the Service, as applicable.
Customer refers to the legal entity that has subscribed or procured the usage of the HR web application – BOSS i-Net.

Data Collection

a. Information Automatically Collected

Usage Data may include information such as Your Device's Internet Protocol address (e.g. IP address), browser type, browser version, the pages of Application that You visit, the time and date of Your visit, the time spent on those pages, unique device identifiers and other diagnostic data.

When You access the Application by or through a mobile device, We may collect certain information automatically, including, but not limited to, the type of mobile device You use, Your mobile device unique ID, the IP address of Your mobile device, Your mobile operating system, the type of mobile Internet browser You use, unique device identifiers and other diagnostic data.

We may also collect information that Your browser sends whenever You access the Application by or through a mobile device.

b. Types of Personal Information

The Application does not require users to enter personal information directly. However, users have the ability to update personal information, including, but not limited to:

- Name
- Phone Number
- Mailing Addresses
- Birth Date
- Identification Card Number

via a form displayed in a web view within the Application.

We also collect information from mobile devices based on our customer requirement:

- Location (GPS): Granting Location data will allow the Application to capture information regarding your location.
- Camera: Granting camera permission allows user to take a picture, which serves as the supporting document for mobile attendance.
- Photo Gallery (Pictures): Granting photo gallery access allows user to upload any picture from their photo gallery.

c. Data Collection Methods

Your data is updated through a web view within the app, connected to the BOSS i-Net HR web application. No cookies are used for tracking users.

Usage of Collected Information

Your data is strictly confidential and accessible only by the Customer. The information is used for record-keeping, tracking attendance, generating letters, and computing monthly remuneration amounts, among other usages deemed necessary by the Customer.

User Control

You can access and update Your personal information through a form within the Application. While You can delete certain information, You cannot delete Your own account as employee records are managed by the Customer. Account deletion is only possible by HR admins of the Customer via BOSS i-Net.

Security Measures

Your data is stored on the server hosting BOSS i-Net. The connection to the server is secured through Restful API calls.

Data Retention

Data is kept so long as the Customer needed to. Data can be archived and/or deleted by HR admins when they are no longer needed.

Compliance with Laws

The Application complies with the standards defined in the Personal Data Protection Act (PDPA) and the General Data Protection Regulation (GDPR).

Updates to the Privacy Policy

The Group may review and update its Privacy Statement from time to time to reflect changes in the law, our business practices, procedures and structure, and the community’s changing privacy expectations. Adequate notice of such update and/or revision will be given on the Group websites and/or by such other means of communication deemed suitable by the Group including by way of sending such notice via email & etc.
